UVic PEA Chapter Annual General Meeting

the 2014 AGM.
Present: at least 50 members including the Executive – sufficient for a quorum which, by Article 3 of the Chapter Constitution, is 5% of the membership, currently about 920 members.

3. Chapter Annual Reports:
3.1 Chair’s Report (John Foxgord)
Motion to accept the Chair’s Report – (m) Cliff Haman (s) Erik Fleischer. Carried.
3.2 Treasurer’s Report (Vincent Connor)
Motion to accept the Treasurer’s Report – (m) Jill Tate (s) John Fagan. Carried.
Discussion: A member asked about the policy for deciding which donations to make.
Answer: it has been a tradition since the early years of the Chapter that we make a donation of one dollar per member to the Mustard Seed Food Bank – this year it will be about $900. We used to donate to the UVic Women’s Conference but since this was merged into the Connect UVic event we no longer make that donation. We also occasionally make a donation to a member in difficulty.
3.3 Association Executive 2013 (John Hall)
Motion to accept the Association Executive Report – (m) My Lipton (s) Andrew Jung. Carried.
Discussion: A member asked who would be attending the meetings of the B.C. Federation of Labour on behalf of the Association.
Answer: Scott McCannell, as Executive Director of the Association, would most likely attend the meetings. Scott would report to the members either in the ‘Professional’ and /or at the Association AGM.
In addition to the information given in the Association Executive Report about grants and donations, it should be noted that the Association Grants and Donation Committee has $20,000 for an annual allocation of $10,000 to each of two different programs. This equates to no more than $10 per member and is taken from the total dues collected from all of the members.
For the first program, $9,600 was awarded as of the time of the Chapter A.G.M. with the balance of $400 to be awarded at a subsequent meeting. The award process involves organizations submitting their respective requests directly to the Association after which the Grants and Donations Committee reviews the requests and makes recommendations to the Association Executive.
The second program is named the ‘Giving Back’ program and is driven by nominations from members of the Association at large. The Grants and Donations Committee makes a short-list of nominations after which the members-at-large vote for their top five. This is done during the October-November period and the top ten organizations each receive $1000.
3.4 Labour Relations Officer Report (Melissa Moroz)

3.5 Committee Reports:
3.5.1 Elections Committee Report (Cliff Haman)
Since there was only one candidate for the Chair of the Chapter Executive, John Foxgord was elected by acclamation for a 2-year term starting on 14 November 2013, after the AGM, until the AGM in 2015. An electronic election was held for the three Director positions on the Executive. The following three members were elected as Directors of the Chapter Executive for 2-year terms starting on 14 November 2013, after the AGM, until the AGM in 2015:

The Chair thanked the Elections Committee for their help with the election.

3.5.2 Association/University Committee Report (John Foxgord)

4. Update on the setting up of a Bargaining Committee for the next round of bargaining that is due to start in the spring of 2014.
The Bargaining Committee was elected by the Executive from the nominations received from the members following a general e-mail call to members made on Thursday, 17 October 2013 which closed at 4:00 p.m. on Friday, 08 November 2013. The Bargaining Committee will be led, as usual, by our Labour Relations Officer, Melissa Moroz, and will consist of the following UVic Chapter members: from the Executive:
Chandra Beaveridge (Project Management Process Manager, University Systems)
Sheryl Karras (Director of Administration, BCom program, School of Business)
John Foxgord (University Systems).
From the members at large:
Sandra Guerreiro (Audiences Services Manager/Instructor Production and Management, Phoenix Theatre)
Duncan Hogg (Co-op Co-ordinator, Engineering Computer Science/Math Co-op Program and Career Services)
Bert Klatt (Co-op Co-ordinator, School of Business Co-op Office).
The Executive will be in touch with the members about the work of the Bargaining Committee when its work gets under way. It is planned to have a set of pre-bargaining ‘lunch and learn’ sessions starting next week and an announcement will be sent later today about the first session.
5. Election of the 2013/2014 Elections Committee(5 members)
From the members attending this AGM, five volunteered to be on the Elections Committee:
Chris Clausen(Chair), Daphne Andrews, Cliff Haman, Jane Kovach, Gavin St. Michael.
The Elections Committee works independently of the Executive to organize and report on Elections for Chapter positions within the terms of Article 11 of the Chapter Constitution.
6. Other Business:
Outgoing Executive member John Hall was thanked for his one-and-a-half-year term on the Chapter Executive and the Association Executive since taking over from a previous re4ring member and presented with a card and gift.
