{"id":201,"date":"2014-06-26T20:28:27","date_gmt":"2014-06-27T03:28:27","guid":{"rendered":"http:\/\/onlineacademiccommunity.uvic.ca\/truffolo\/?p=201"},"modified":"2023-05-08T16:42:42","modified_gmt":"2023-05-08T16:42:42","slug":"calendarattachment","status":"publish","type":"post","link":"https:\/\/onlineacademiccommunity.uvic.ca\/truffolo\/2014\/06\/26\/calendarattachment\/","title":{"rendered":"Creating a calendar file attachment that people can &#8220;Accept&#8221;"},"content":{"rendered":"<p>Hey, here&#8217;s me talking about something other than TED Talk Lunches!\u00a0 Yes, it&#8217;s true &#8211; I occasionally break free from watching videos at work.<\/p>\n<p>This post is about creating those .ics calendar file attachments in such a way that people can &#8220;Accept&#8221; them, but don&#8217;t have to &#8220;Decline&#8221; them.\u00a0 This method works so that it gets added to their calendar, <em>and<\/em> you can track attendees for those who accept.\u00a0 This is how I send out invitations to our TED Talk Lunches: a regular ol&#8217; email with all the info, and a calendar attachment with essentially the same info as the email.<\/p>\n<p>&#8220;Why don&#8217;t I just plain old invite everyone to my event?&#8221; you ask.<\/p>\n<p>Well&#8230; when I get an actual calendar invite to something, I need to respond to it or it&#8217;ll sit forever clogging up my calendar.\u00a0 If it&#8217;s an actual work request for me to attend a meeting or some such thing, then sure &#8211; I need to respond, and other people should be able to see that I was invited <em>and<\/em> whether or not I&#8217;ll be there.\u00a0 But if it&#8217;s a <em>fun<\/em> thing, like a TED Talk Lunch, OR you&#8217;re sending it to me in an email blast to a zillion people, then:<br \/>\na) I&#8217;m kind of annoyed that I have to &#8220;Decline&#8221; your offer to have fun;<br \/>\nb) all those extra clicks you just made me do; and<br \/>\nc) do you really want 113 &#8220;Decline&#8221; notices in your inbox?<\/p>\n<h3>What to do:<\/h3>\n<p><em>Note: these instructions and screenshots are Outlook 2013.\u00a0 I expect you should be okay with any decently recent version of Outlook.<\/em><\/p>\n<ol>\n<li>Create your Calendar item in your own calendar.<\/li>\n<li>Go to the Scheduling Assistant.<\/li>\n<li>You need to have at least one person or resource invited.\u00a0 That&#8217;s what makes this work! So:\n<ul>\n<li>Add yourself in as an attendee (yes, you&#8217;ll be in there twice); <em>and \/ or<\/em><\/li>\n<li>Select the room you&#8217;re going to book (eg. Clearihue CLE 030).<br \/>\n<a href=\"https:\/\/onlineacademiccommunity.uvic.ca\/truffolo\/wp-content\/uploads\/sites\/6780\/2014\/06\/calendar1.jpg\"><img loading=\"lazy\" decoding=\"async\" class=\"alignnone wp-image-206\" src=\"https:\/\/onlineacademiccommunity.uvic.ca\/truffolo\/wp-content\/uploads\/sites\/6780\/2014\/06\/calendar1-620x455.jpg\" alt=\"calendar1\" width=\"450\" height=\"331\" \/><\/a><\/li>\n<\/ul>\n<\/li>\n<li>Go back to the appointment and complete the body of the invitation.<\/li>\n<li>Send it.<\/li>\n<li>Re-open it.\u00a0 Now it looks something like this: (note, you won&#8217;t see accept \/ decline, since you&#8217;re the organizer.)<br \/>\n<a href=\"https:\/\/onlineacademiccommunity.uvic.ca\/truffolo\/wp-content\/uploads\/sites\/6780\/2014\/06\/calendar2.jpg\"><img loading=\"lazy\" decoding=\"async\" class=\"alignnone wp-image-207\" src=\"https:\/\/onlineacademiccommunity.uvic.ca\/truffolo\/wp-content\/uploads\/sites\/6780\/2014\/06\/calendar2.jpg\" alt=\"calendar2\" width=\"350\" height=\"401\" srcset=\"https:\/\/onlineacademiccommunity.uvic.ca\/truffolo\/wp-content\/uploads\/sites\/6780\/2014\/06\/calendar2.jpg 477w, https:\/\/onlineacademiccommunity.uvic.ca\/truffolo\/wp-content\/uploads\/sites\/6780\/2014\/06\/calendar2-262x300.jpg 262w\" sizes=\"auto, (max-width: 350px) 100vw, 350px\" \/><\/a><\/li>\n<li>Click &#8220;File&#8221; &gt; &#8220;Save As&#8221; and save the ics file on your desktop (or wherever you like!\u00a0 Why do instructions always say to save things to the desktop?).\n<ul>\n<li style=\"text-align: left\">Give it a good name &#8211; your email recipients will see it.\u00a0 I name mine something like &#8220;Ted Talk Lunch 2014-07-24.ics&#8221; for clarity, and topic-then-date sorting.\u00a0 (Ha! See my other post on <em>that<\/em> topic: <a title=\"Sorting Folders by Date \u2013 a Primer\" href=\"https:\/\/onlineacademiccommunity.uvic.ca\/truffolo\/2013\/06\/26\/sorting-folders-by-date-a-primer\/\" target=\"_blank\" rel=\"noopener\">Sorting Tips and Tricks<\/a>)<\/li>\n<\/ul>\n<\/li>\n<\/ol>\n<p>Okay! That&#8217;s it!\u00a0 Attach that .ics file to your actual email that you&#8217;re going to send out to the world.<\/p>\n<p>Now go have fun \ud83d\ude42<\/p>\n<p>Edit 2015-03-27: As the meeting organizer, you won&#8217;t see an Accept option when <em>you<\/em> open the meeting request, even though you invited yourself.\u00a0\u00a0If you&#8217;d like to test your attachment, email it to a\u00a0willing colleague to try out before you blast it out to everyone.<\/p>\n","protected":false},"excerpt":{"rendered":"<p>Hey, here&#8217;s me talking about something other than TED Talk Lunches!\u00a0 Yes, it&#8217;s true &#8211; I occasionally break free from watching videos at work.
